Check In Check List - For Staff

The Following Checks must be completed before checking riders in on the day

Please ensure the following checks are strictly followed during every rider check-in. We’ve had a noticeable drop in compliance, including 10 profiles missing photos in one day, multiple instances of minors riding on parent accounts. Let’s tighten up and aim for perfect procedure ALWAYS.


🔍 Mandatory Checks (NO Exceptions)

  1. Profile Photo

    • A clear photo showing the rider’s face must be uploaded.

    • No cartoon avatars, helmets, or obscured faces.

  2. Membership Validity

    • All riders must have an active membership.

    • Types: PAYG, PAYG+, Network, or Network+.

    • Ensure correct DOB is entered and aligns with profile type.

      • Under-16s must be linked to a Parent account.

  3. Emergency Contact

    • Must include Name and Phone Number.

  4. Health Conditions

    • Ask if the rider has any known medical conditions.

    • Record them, or add “None” if not applicable.

  5. Transaction Check

    • Confirm a successful transaction for today’s ride exists.

    • Check for any failed payments under the Transactions tab.

  6. Unsigned Documents

    • Check and flag if any are marked Unsigned.

  7. Membership End Dates

    • Watch for memberships (especially PAYG+ and Network) that are active but missing an End Date.

    • Flag and escalate to a manager if unsure.


⚠️ Voucher Sales Note

  • Vouchers for Day Passes are acceptable only as a last resort.

  • Ensure these are processed accurately to maintain data integrity.


💡 Additional Tasks

  • Upsell Coaching where appropriate.

  • Encourage adding a card to their profile for faster payments.
